Some title companies will ask that scanbacks be sent from the signing table. This means that the signing agents will need to scan the documents at the signing, send them to the title company, and wait for approval before leaving the signing. For these signings, agents will need to have a mobile scanner, laptop, and wireless hotspot.
Other title companies will ask that you send scanbacks and hold the documents package until you receive approval to ship. In these cases, you can leave the signing and scan at a later time.
More often, you will just need to scan the documents over and immediately ship without receiving approval.

2. Agree on travel fees in advance.
Whether your state sets the amount Notaries may charge for travel or does not regulate travel fees, it's a good practice to agree upon the amount with the signer before the notarization date.
3. Explain your policy.
You should also let the signer know in advance your policy regarding charging for travel time and fuel expense if the notarization can’t be completed.
4. Request payment in advance (optional).
One possible way to help avoid fee disagreements at the signing is to request payment of the travel fee in advance. That way, you are sure to receive payment for your driving time and fuel expenses even if the notarization cannot be completed.
5. Record the travel fee.
Some states required you to record the travel fee in your Notary journal. Required or not, It’s good practice regardless.
